Customer Invoice

An invoice is what you send to a customer to ask for payment. Upload the PDF here. The system reads it and books it for you.

How it works

  1. 1You upload the PDFOne file or several at once.
  2. 2The system reads itCustomer, date, lines, VAT and total.
  3. 3Stock is checkedGoods leave stock. Services do not.
  4. 4The invoice is postedOr it stays a draft with a clear reason.

Upload an invoice

  1. Open Customer Invoice in the menu.
  2. Click Upload documents and choose the PDF files.
  3. Wait for the result. Each file shows a short summary: who it is for, the amount and the date.

What you may see

MessageWhat it means and what to do
Already uploadedThis invoice is already in the system. Nothing to do.
Stock is shortThe invoice sells more than you have in stock. It is saved as a draft. Add the missing stock in Inventory, then click Post on the invoice.
Line amounts do not match the invoice totalThe lines the system read do not add up to the printed total. The invoice is saved as a draft and not posted, so a misread cannot reach your books. Ask your accountant to check it.

See your invoices

Choose a from and a to date and view the list. Each row shows the number, the customer, the date, the total and whether it is paid. Click the invoice number to open the PDF. The PDF is made from what is recorded, so what you see is what is booked.

Correct an invoice

Click Edit on the invoice. The lines stay, VAT is 5% and the goods are returned to stock and delivered again with the new quantities. The old invoice is cancelled and a new one is posted.

If the invoice was already paid, the payment stays in the books. It is matched again when the bank line is reconciled.

For accountants

  • Lines are matched to storable products by product code first, then by exact name. A goods line is delivered with the posting (all or nothing). Services and unmatched lines are revenue only, with no warning for an unmatched goods line (open item).
  • An uploaded invoice keeps the VAT printed on it. The Edit screen uses 5%. Total check: the sum of the lines (quantity × unit price) is compared with the printed total before VAT. A difference above 0.100 or 0.5% saves a draft.
  • Edit of a paid invoice: the old invoice is cancelled, a new one is posted unpaid, the old delivery is returned and a new one is made. The payment stays unreconciled until the reconcile desk.
  • Lot and serial goods: the delivery takes the lot or serial automatically, earliest expiry first.
  • The invoice PDF is the Odoo Oman tax invoice, in English and Arabic.
  • A tax invoice must be issued within 15 days of the supply (Art 143). The report Late Tax Invoices lists the exceptions.
  • Credit notes, debit notes, the simplified tax invoice (under OMR 500) and the monthly summary invoice (Art 150) are made in Odoo. See VAT in Odoo.
  • The zero-rate tariff code list applies only to invoices created in Odoo as drafts, not to uploaded PDFs.
  • Posted entries cannot be changed (hash lock on all journals). A correction cancels the entry with a reversing entry.
